Privacy Policy

This policy explains how Toolbox Talk Safety Compliance (Pty) Ltd ("we") collects, uses and protects personal information when you use our platform. We comply with the Protection of Personal Information Act, 2013 (POPIA).

1. Information we collect

  • Identity: full name, ID number (where required for certificate validity), employer, job role.
  • Contact: email address, mobile number.
  • Training data: course progress, quiz results, completion timestamps, selfie captures for identity assurance.
  • Device data: device model, browser, push tokens, IP address.

2. How we use it

  • To deliver courses, issue certificates and verify authenticity via QR code.
  • To provide employer admin dashboards showing worker compliance status.
  • To send transactional notifications about training expiry, safety alerts and account activity.
  • To meet legal record-keeping duties under the OHS Act and MHSA.

3. Lawful basis

We process personal information on the basis of contract (delivery of the Service), legal obligation (OHS/MHSA record-keeping), and legitimate interest (platform security and improvement).

4. Sharing

Worker training records are shared with the employer that purchased the seat. We do not sell personal information. Sub-processors include hosting, email delivery, push notification and analytics providers bound by written data-processing terms.

5. Retention

Training records are retained for at least 3 years after certificate expiry to support DEL/DMRE audits. You may request earlier deletion where no legal duty requires retention.

6. Your rights

You have the right to access, correct, delete, object to processing, and lodge a complaint with the Information Regulator. To exercise a right, email hello@toolboxtalksafety.co.za.

7. Security

We use encryption in transit (TLS), encryption at rest, row-level access controls, and least-privilege admin access. Selfie captures are stored only for the duration required to verify identity and are then hashed.
